City of Peoria, Arizona to Implement Second iCapture™
System for its Document
Management & Imaging System
WALNUT CREEK, Calif.--April 01, 2005
In early 2004, the Tax Division of the City of Peoria implemented
an iCapture system as a subsystem within their new Integrated
Tax System that was provided by TataInfoTech, Ltd. Based on the
success achieved through this installation, the Police Department
of the City has awarded a contract to Impression Technology to
design and implement a data capture, imaging and workflow solution
to meet its ongoing operational requirements.
The Police Department in Peoria must deal with approximately
1,000,000 pages of Case Files, training records, accreditation
files and other documents annually. The Department recognized
that the need to capture information from these document, the
operational necessity to make this information quickly available
and the sheer volume of documents meant that the continued use
of paper as the primary media was not cost effective or feasible.
Following the completion of a Requirements Definition and Conceptual
Design, the Department has awarded a contract to Impression Technology
to implement a customized version of iCapture and a document imaging
and workflow system that will be based on the Captaris suite of
software.
The Department requires a separate and highly secure solution
as many of the documents that it processes contain confidential
and sensitive information. In the first phase of this project
Impression and the Department will focus on the over 20,000 Incident
Report Files generated by the Department annually. Documents will
be scanned and indexed, vital information will be captured and
stored within the Departments Crimes Database, and images will
be stored within a Storage Area Network repository for subsequent
viewing and retrieval by the approximately 140 Officers and employees
within the Department. In addition to the ability to retrieve
images of desired files, the system will include a workflow subsystem
that will route files to appropriate Divisions and Units within
the Department for action based on pre-determined document characteristics.
The integrated iCapture/Captaris solution is being customized
at Impression Technology’s facilities in Walnut Creek, California
and it will be installed in Peoria in June, 2005. Following the
installation and integration with existing Department systems,
Impression will provide on-site training and the joint project
team will conduct a series of formal Acceptance Tests. The Department
has planned for a multi-phased project and the solution infrastructure
that will be installed by Impression during this first phase will
allow the Department to expand the scope and use of the system
to encompass all of the types of forms, records and documents
used and generated during the course of its normal business.
