Oregon Department of Revenue to add Automated Fax Processing

WALNUT CREEK, Calif.--June 11, 2010

Impression Technology has signed a contract with the Oregon Department of Revenue to expand and enhance the Agency’s iCapture solution to support automated Fax processing for its Electronic Funds Transfer (EFT) and Suspense Units. Each of these internal organizations can receive hundreds of faxes per week and, at the present time, staff are dedicated to the operation of business class Fax devices, the sorting of the incoming paper documents and the subsequent distribution of the documents to appropriate staff in each Unit. This is a labor intensive and costly operation, there is no audit trail to track incoming information and hard copy filing is required to maintain a record of the transaction.
The new solution will leverage the Agency’s investment in iCapture and its associated Open Text/Alchemy Image repository. The Agency has contracted for an external Fax Hosting service and the incoming image files will no longer be printed, but immediately imported to the iCapture system.  A Fax Indexing Operator will have the ability to view the incoming image files, assign Index values and automatically commit the images to specific EFT and Suspense databases with the repository. Staff in EFT and Suspense will search these databases for ‘open items’, perform whatever action is required based on the nature of the incoming Fax, and ‘close’ the item when the necessary action has been completed. The system will automatically maintain an auditable record on all incoming transactions, this will be a paperless process, and the images are retained within the repository thus eliminating hard copy filing and its associated costs.

iCapture currently supports the Agency’s requirements for data capture for all Tax Forms and Schedules and the Modernized E-Filing (MeF) system implemented for the filing of Corporate Returns. The addition of Automated Fax Processing is an additional step in the strategy to move the Agency toward a paperless Tax Processing environment and EFT and Suspense are the first of many Units where this enhanced capability is expected to be deployed.
